How it works

One flow, from the first client to the next visit

  1. 1

    Add clients, sites and systems

Type them in or import a CSV spreadsheet. Each system gets its type, warranty and service history.

  2. 2

    Book or auto-schedule visits

Create a job, or let a maintenance plan book it ahead of the due date.

  3. 3

    The technician does the work

Offline on the phone: checklist, photos, readings, parts and the customer's signature.

  4. 4

The customer tracks, approves and pays

They see the arrival, get the report, approve the work and pay online.

  5. 5

Reports, reminders and the next visit

Numbers update, reminders go out and the next visit books itself.

A visit, stage by stage

Follow one job from request to closed

Pick a stage to see who acts and what the screen shows. These are the default stages; your company can rename them or add steps.

Step 1 of 8: Requested

Step 1 · Customer or office

Requested

A customer asks for a visit in the portal, or the office creates the job. It lands in a list of work that still needs a day and a technician.

  • Requests from the customer portal
  • Jobs made from a maintenance plan
  • Urgent work stands out

Step 2 · Office

Scheduled

The office picks the day and the technician on the calendar. The customer can be reminded, and the technician sees it on their phone.

  • Drag a visit to a new day
  • Reasons are asked for when plans change
  • The job appears in the technician's day

Step 3 · Technician

On the way

The technician taps "on the way". The office sees them on the live map and the customer can open a private link with the road ahead and an estimate.

  • First name, map and estimate only
  • Any link can be turned off
  • Location is shared while working a job

Step 4 · Technician

On site

The whole visit is done on the phone, with or without signal: checklist, photos, readings against your bands, parts used and the customer's signature.

  • Works offline
  • Parts come off the van's stock
  • An arrival check lets the office know if something looks off

Step 5 · Office and customer

Awaiting approval

The technician submits the work. An office reviewer, and the customer if you want it, approves it before it can be closed.

  • Approval steps are your setting
  • Comments stay on the job
  • Nothing is closed without the steps you set

Step 6 · Office

Completed

A PDF service report is made from the visit: what was checked, readings, photos, parts and the signature, with a QR code that opens the same report online.

  • Made automatically
  • The customer can open it in the portal
  • A new version keeps the old one

Step 7 · Office

Invoiced

The invoice is made from the job and its parts. It goes by email as a PDF with a link, and the customer can pay online by card or bank transfer.

  • One invoice can cover several jobs
  • Online payment through Paystack
  • Late reminders go out by themselves

Step 8 · Office

Closed

The job is closed with its full record. If it belongs to a maintenance plan, the plan moves its due date on and the next visit is booked ahead of time.

  • Reports update from the ledger
  • The next visit books itself
  • Customers are reminded before things lapse

Technician phone apps

Built for sites with no signal

Technicians keep working when the network drops. The whole visit is recorded on the phone and goes to the office by itself when the connection returns, without overwriting anything newer.

  • Checklist, photos, readings, parts and signature, all offline
  • Plain-words messages when a change cannot be applied
  • The Android beta can be downloaded now; the iPhone app is coming
How offline sync works Technician phones keep working without a signal and store each change. When a connection returns the changes are sent once to the server, which applies them and updates the office screens and the customer. Works offline Save visit No signal Phone Sent once Checks first Server Office Customer

For your customers

They can see it without calling you

A branded portal for visits, reports, invoices and tickets, and an arrival link that shows the technician coming.

The arrival link shows only the technician's first name, the road ahead and an estimate. No phone number, no history, and you can turn any link off. More on live tracking.

Water quality

Readings that are read, not just written

Technicians record readings on every visit. Each one is judged against limits you set, shown as a word and a colour, and listed company-wide so the systems drifting out of range stand out.

Security and data

Your company's data stays your company's

Built so one company can never see another's records, and so every change can be traced.

Encryption

Passwords are stored only as hashes, sensitive secrets are stored encrypted and every connection is encrypted.

Roles

Roles and permissions per company. A role sees only the jobs, clients and money it should.

Activity log

Every change by a signed-in person is recorded: who, what and which record.

Sign-in

Two-step verification with an authenticator app, and an alert for a new device.

Money

Amounts are exact, and a mistake is corrected with a new entry, never by editing history.

Separate companies

Each company sees only its own records, and files are opened only through short-lived links.

All questions

What is AquaOps?

AquaOps is software for water treatment companies. It handles clients, sites and systems, jobs and scheduling, maintenance contracts, technician phone apps that work offline, a customer portal, quotes, invoices and online payments, inventory, support tickets and reports.

Is it only for RO plants?

No. It is built for any water treatment work: RO plants, water softeners, borehole systems, bottled water plants, pools, industrial systems and facility maintenance. Service types, system types, checklists and reading bands are your own settings.

How much does it cost?

There are plans for small teams up to large fleets. Contact us for details; we do not publish prices on this website yet.

Does it work offline?

Yes. The technician apps keep the day's jobs on the phone, so the whole visit (checklist, photos, readings, parts and signature) can be done with no signal. Changes sync when the phone is online. If something can no longer be applied, the app says why in plain words.

Can customers pay online in naira?

Yes. Customers can pay an invoice by card or bank transfer through Paystack, from the invoice link or the customer portal. You can still record cash, transfer, POS and cheque payments yourself.

How does VAT work?

You set your VAT rate and how it is applied in your billing settings. Amounts are stored in whole kobo so totals are exact. We do not give tax advice; please ask your accountant about your obligations.

How long does setup take?

It depends on how much you bring in. You can import clients and systems from a CSV spreadsheet instead of typing them. Contact us to talk about your situation.

Who owns our data?

Your company's data belongs to your company. Lists such as invoices, payments, support tickets and stock can be downloaded as CSV files. Ask us about a full export.
